Bylaws

ARTICLE I:  Name
The name of the organization shall be Parents Involved in Education (P.I.E.).

ARTICLE II:  Article of Organization
The bylaws of this organization shall be considered its articles of organization. The bylaws can be amended at any P.I.E. meeting by agreement or by a 2/3 vote of voting members present, given that notice was given at the previous P.I.E. meeting.

ARTICLE III:  Objectives
The objectives of the P.I.E. organization are:

  1. To form a closer working relationship between parents and teachers, in the interests of educating and supporting our children.
  2. To promote the school as a Christian-based educational facility open to all children.
  3. To raise funds for the support of educational and recreational needs of the school.

ARTICLE IV:  Basic Policies

  1. P.I.E. shall be a non-commercial, impartial and non-sectarian organization.
  2. P.I.E. and the names of its members will not be used in correlation with any commercial matter or any other issue not suitable to the promotion of the objectives of P.I.E.
  3. P.I.E. shall work with the school to provide a quality education for all students, while recognizing that legal responsibility for making decisions regarding school district policy is reserved for the Board of Education.
  4. P.I.E. may collaborate with other organizations and agencies concerned with child welfare, although persons representing P.I.E. in such matters shall make no commitments that bind P.I.E. without membership vote or approval of the Executive Board.
  5. All P.I.E. funds, except for immediate needs of less than $50 approved by the Executive Board, will be spent as voted by a majority of members present at the meeting. Receipts or copies of receipts are requested for any purchases made using P.I.E. funds.

ARTICLE V:  Officers
Section I:  Offices & Terms
The officers of this P.I.E. organization shall be President, Vice-President, Secretary & Treasurer – all of whom will be elected in April for a term of one year, beginning in August and ending in the following August with the installation of new officers. Nominations will be made by the previous year’s officers and all members. Opportunity to decline will be given. The vote will be conducted at the April business meeting by secret ballot.

Section II:  Officer Responsibilities

The President shall:

  1. Conduct all meetings, set agenda and maintain order.
  2. Put motions to vote and state results.
  3. Appoint special committees as needed.
The Vice-President shall:
  1. Act as an aid to the President and perform the duties of the President in the absence of that officer.
  2. Coordinate committees and be an ex-officio member of all committees.
The Secretary shall:
  1. Keep a record of all meetings of the P.I.E. organization and publish minutes (after President approval) in school newsletter & on website.
  2. Be in charge of all official P.I.E. correspondences.
  3. Post meeting time and place in school newsletter.
  4. In absence of President and Vice-President, call meeting to order and election of a chairman pro tem.
The Treasurer shall:
  1. Receive all monies of the P.I.E. organization.
  2. Keep an accurate record of receipts and expenditures.
  3. Make only those disbursements that are in accordance with the approved budget or are officially authorized. The President, Vice-President and Treasurer are the only authorized agents of disbursement. Receipts will be reimbursed up to 45 days after the date of purchase.
  4. Present a statement of accounts at every meeting of the P.I.E. organization and at any other time upon request of the President.
  5. Present a complete, final financial report at the last official meeting of the year (May meeting).
  6. Provide the incoming Treasurer with a complete set of balanced books including all receipts and records.
  7. Have all current year bills paid in a timely manner.

If any officer misses three meetings, the membership may consider replacing that officer.
The above 4 officers make up the Executive Board. The Executive Board may allocate up to $50.00 of organization funds upon immediate need without vote of membership.

Section III:  Officer Replacement
In the event an officer becomes unable to carry out his/her duties (ie move from school, illness, etc), the highest ranking remaining officer will request nominations at the next business meeting and will conduct a special vote among the members present to elect a replacement.

ARTICLE VI:  Membership
Any individual who subscribes to the objectives, basic policies and is a parent/guardian, teacher or supporter of any student at St. Paul School is eligible for membership, subject only to compliance with the provisions of the bylaws. Membership in P.I.E. shall be available without regard to race, color or national origin. No dues will be charged.

ARTICLE VII:  Meetings
A regular meeting of the P.I.E. organization shall be held on the second Monday of each month (excluding June), unless P.I.E. decides on another date and time. In order to conduct a business meeting, a quorum of 5 must be present. Members will review the minutes prior to the meeting; the secretary will not read the minutes at the meeting. Committees will have a written report to be submitted to the Vice-President at the beginning of the meeting.

ARTICLE VIII:  Availability of the Bylaws
A copy of these bylaws shall be made available to members upon request, and articles shall be read from them when appropriate during P.I.E. meetings or at other times as needed for information and clarification.
